Who we are and what this covers
Comsphere IT Solutions Private Limited (“Comsphere”, “we”, “us”) provides software design, engineering, cloud and consulting services. This policy describes personal information handled through our corporate website and business enquiries. Our location is Hyderabad. You can reach us at contact@comsphereit.com.
For these activities, Comsphere determines why and how personal information is used. Where we handle information solely on a client’s instructions while delivering a project, the client’s privacy notice and our service agreement govern that processing.
Healthly has its own privacy policy covering its app and related services. Visiting a Healthly link does not transfer health records to this corporate website. This policy does not replace product-specific notices or notices for employees and job applicants.
Information we handle
| Information | When it is handled | Why it is needed |
|---|---|---|
| Contact and business details | Your name, email, phone number, company, role and any details you choose to send by email or phone. | Reply to enquiries and discuss a potential project. |
| Enquiry and project correspondence | Messages, requirements, files and records of our business communications. | Prepare proposals, coordinate work and resolve questions or complaints. |
| Business transaction records | Where you become a client: contracting contacts, billing details, invoices and payment confirmations. | Administer the engagement and meet accounting or legal obligations. |
| Technical connection information | When the site is hosted, its infrastructure may process IP addresses, request times, pages requested, browser details and error information. | Deliver the website, investigate faults and protect it from misuse. |
This corporate website does not currently offer user accounts, health-record uploads or online checkout. Do not send passwords, payment-card details, Aadhaar numbers, medical records or another person’s confidential information in a general enquiry. Share only information you are authorised to provide.
How and why we use it
We use the information relevant to your request to communicate with you, assess requirements, prepare an agreed proposal, deliver and support contracted work, manage our business records, and protect our website and legal rights.
Where consent is required, we ask for it for the specific purpose. When the law permits another basis, such as complying with a legal obligation, we rely on that basis only to the extent it applies. Browsing the website is not blanket consent to unrelated uses of personal information.
We do not treat a project enquiry as permission for unrelated promotional messages. Where we send optional marketing with the required permission, you can opt out by replying or contacting us. We will explain a materially new purpose and obtain fresh consent where required before using information for it.
Cookies, fonts and external links
The current website code does not set first-party cookies or browser storage and does not include advertising pixels or analytics scripts. Your browser may still cache website files, and hosting infrastructure may maintain technical logs.
Our typefaces load from Google Fonts. Fetching those files sends Google technical information such as your IP address and browser request details. See Google Fonts’ privacy information. The fonts can fall back to those on your device if the external service is unavailable.
Clicking an email or phone link opens your chosen application; it does not submit a hidden website form. Other websites, including Healthly, process information under their own notices. We will update this policy if we introduce new tracking or collection features and provide any consent controls required by law before activating them.
Who may receive information
Access is limited to people who need information for the purposes described here. Depending on the interaction, this can include authorised Comsphere personnel; providers supporting business email, website hosting, communications or IT security; and professional advisers such as accountants or lawyers.
Providers acting for us should receive only the information needed for their work and be subject to appropriate confidentiality, security and data-use obligations. Google Fonts also receives connection data directly as explained above. We do not sell personal information or provide it to advertising networks for behavioural targeting.
We may disclose information when legally required, to respond to a valid request from an authority, or where necessary and lawful to investigate fraud or protect rights. If a business reorganisation transfers information, we will apply appropriate confidentiality safeguards and give notice where required.
Processing locations
Business communications and website infrastructure may involve providers operating in India or other countries. We do not promise that all information remains in India.
Where a transfer is needed, we assess applicable restrictions and use contractual and other safeguards appropriate to the information and the service. Transfers of sensitive personal information, if any, must meet the conditions imposed by applicable Indian law. Contact us if you need information about the processing relevant to your enquiry or engagement.
How long information is kept
We retain personal information only while needed for the purpose for which it was collected, an ongoing engagement, a valid legal obligation, or the establishment or defence of legal claims. An enquiry should not be retained indefinitely merely because it was received.
- Enquiries and correspondence: reviewed when the enquiry is resolved or the business relationship ends; unnecessary personal details are deleted or anonymised.
- Contracts, invoices and compliance records: retained for the period required by applicable law or a justified legal need, with access restricted.
- Technical logs: limited to an appropriate operational or security period and any legally mandated retention.
- Backups: removed through the applicable backup lifecycle; retained copies are not used for new business purposes.
A deletion request may not remove records that must lawfully be retained. We will explain a relevant exception when responding to your request.
Your choices and data requests
You can contact contact@comsphereit.com with the subject “Privacy request” to ask what information we hold about you, request correction, seek deletion, withdraw consent for a consent-based use, or stop optional marketing. Tell us how we originally interacted and what you would like done.
We may request proportionate information to verify your identity or authority. Please do not send government identity documents unless we explain why they are necessary and provide an appropriate way to share them. We will respond to the request and explain any lawful limits. Withdrawal does not invalidate earlier lawful processing; it may prevent us from continuing an activity that needs that information.
As additional provisions of India’s Digital Personal Data Protection Act, 2023 and its rules become applicable, statutory rights such as access to a processing summary, correction and erasure, grievance redressal and nomination apply in accordance with those provisions. We will support applicable rights through this contact route. This policy does not present provisions awaiting commencement as already enforceable.
For Healthly account or health-record requests, follow the process in Healthly’s privacy policy.
Children’s information
This corporate website and its business-enquiry channels are intended for adults. We do not intentionally solicit children’s personal information through them. A parent or lawful guardian who believes a child has supplied personal information can contact us to request review and removal, subject to any legal retention requirement.
Any child-related processing within a separate product must be addressed by that product’s own notice and applicable parental-consent requirements.
Security and incidents
Our approach is to use reasonable organisational and technical safeguards appropriate to the information, including access restrictions and confidentiality controls. The particular safeguards for a client project are addressed in the relevant service and data-processing arrangements.
No internet or storage system can guarantee absolute security. If an incident affects personal information, we will investigate, take appropriate containment and remediation measures, and notify affected people and authorities where required by the law in force. Please report suspected misuse to our contact address without including passwords or unnecessary sensitive information.
Questions and privacy complaints
Send a privacy question or complaint to Comsphere IT Solutions Private Limited at contact@comsphereit.com, using “Privacy complaint” in the subject. You can also call + 91 9117 81117. Our location is Hyderabad.
Please describe the issue, relevant dates and how we can reply. Our service target is to acknowledge complaints within seven working days and resolve them within 30 days, or sooner if applicable law requires. If more time is legally permitted and needed, we will explain the reason and next steps.
You retain any right to approach a competent authority, regulator or court. The Data Protection Board route is available when the relevant provisions and complaint mechanism apply; contacting us does not waive other remedies.
Changes to this policy
We will show the date of the current policy on this page. Material changes will be highlighted here and, where appropriate, communicated directly to affected people. We will obtain additional consent where required rather than treating a revised policy as automatic permission for a new purpose.
